Booking and Cancellation Terms

All bookings have to be made via the online booking form that will be open on this website. Payments can be made via bank transfer after receiving the invoice or by credit card during the accommodation process (the invoice will be sent after a successful payment). After filling in the booking form and starting the payment, the payment link automatically directs you to the secure payment webpage where you can fill in your credit card data. After the booking and payment have been completed, an automatically generated confirmation e-mail will be sent to the e-mail address inserted in the booking form. The e-mail contains a pdf link with the booking data which can be downloaded and serves as a written confirmation.
We can only accept euro-payments.

Accommodation for the TNC19 Conference is subject to a fee. The accommodation booking is binding for the participant. The fee is to be paid in advance according to the invoice the participant will receive after successful online registration. Any resulting bank charges are to be paid by the Conference participants.

Cancellation policy

Should you cancel your accommodation booking at the Conference by 14 April, 2019, the payment will be refunded, minus an administration fee of 35€. Should you cancel your accommodation booking by 29 April, 2019, 50% of the payment will be refunded, minus an administration fee of 35€. In the event of a cancellation after 29 April, 2019, no refund is possible.

Please submit your cancellation to the Conference Secretariat in writing via e-mail: secretariat@publicon.ee. Cancellation requests must identify the registrant’s name, email address, the amount paid and bank details. Cancellations cannot be made directly to the hotel, these are not considered valid cancellations.

Name changes are free of charge, but these need to be reported to the secretariat via e-mail at least 48 hours before the beginning of the booking period.


 

Privacy policy

When you book accommodation, we ask for personally identifiable information including, but not limited to, your name, e-mail address, address and organisational info. Once you book accommodation for the Conference and sign in to its services, you are not anonymous to us. The Conference Secretariat also automatically receives and records information on our server logs from your browser including your IP address, Forum cookie information, and the page you requested. 

Publicon OÜ as the payment intermediary is the party responsible for handling personal information. This party will submit the personal information necessary to complete the payment to the authorised service provider Maksekeskus AS.

Publicon PCO will save the registrant’s data in their database also in case the booking is not finalised. The unfinished bookings and the registrants’ data are deleted from the database in 7 days. Before deleting the data, Publicon PCO reserves the right to contact the registrant of the unfinished booking using the contact information already filled in.

Publicon OÜ is obligated to store the personal data for 5 years. 
If you do not agree with the processing or storing of your personal data, you can withdraw your consent. Please note that this will bring along the cancellation of your accommodation booking.
